Profile Summary:

We are seeking a proactive and detail-oriented Procurement Officer to support our procurement operations, with a strong focus on international sourcing and import coordination. The successful candidate will manage the full procurement cycle—from supplier identification to goods receipt in store—while ensuring accurate administration of purchase orders and compliance with import regulations.

Key Objectives:

  • Execute end-to-end procurement and import processes, including supplier sourcing, order placement, shipment tracking, and goods receipt.
  • Administer purchase orders with precision, ensuring timely approvals, updates, and documentation.
  • Coordinate import logistics and customs clearance to ensure smooth delivery of goods.
  • Maintain accurate records and support continuous improvement in procurement operations.

Responsibilities:

  • Source and evaluate local and international suppliers; request quotations and conduct price comparisons.
  • Prepare, issue, and administer purchase orders, ensuring alignment with approved requisitions and budgets.
  • Maintain purchase order logs, track order status, and update stakeholders on delivery timelines.
  • Coordinate with freight forwarders, customs brokers, and regulatory bodies for import documentation and clearance.
  • Monitor shipments, resolve delays, and ensure timely delivery to stores or warehouses.
  • Verify goods received against purchase orders and liaise with store teams for quality checks.
  • Maintain organized records of procurement activities, supplier performance, and import documentation.
  • Ensure compliance with company procurement policies and import regulations.
  • Assist in procurement reporting, cost analysis, and supplier performance reviews.

Qualification and Skills:

  • Diploma or Degree in Procurement, Supply Chain Management or related field.
  • 2+ years of experience in procurement and import operations, including purchase order administration.
  • Strong understanding of import procedures, Incoterms, and customs documentation.
  • Proficiency in Microsoft Office and procurement/ERP systems.
  • Excellent communication, negotiation, and organizational skills.
  • Ability to multitask and work under pressure in a fast-paced environment.
  • Attention to detail and commitment to accuracy.
