Profile Summary:

The Officer in Charge – Facilities is responsible for supporting the smooth day-to-day operations of facilities and administrative functions across the organization. The role ensures that all premises are well maintained, safe, and operational, while also assisting in general
administrative tasks.

Key Responsibilities: Facilities Management

  • Perform light maintenance works (minor repairs, basic fixes, adjustments)
  • Coordinate routine maintenance and repair works (electrical, plumbing, civil, etc.)
  • Monitor and ensure cleanliness and proper upkeep of all facilities
  • Conduct regular site inspections to identify issues and follow up on corrective actions
  • Liaise with external contractors and service providers for maintenance works
  • Track and report facility-related complaints and ensure timely resolution
  • Assist in implementing preventive maintenance schedules (PPM)
  • Support asset tracking and basic asset register updates
  • Ensure compliance with health, safety, and security requirements
  • Monitor utilities usage and report any abnormalities

Key Responsibilities: Administrative

  • Assist in general office administration and coordination
  • Handle basic procurement processes (raising requests, follow-ups with suppliers)
  • Maintain records, logs, and documentation related to facilities and admin
  • Support coordination of meetings, site visits, and internal logistics
  • Assist in preparing reports (weekly/monthly) for management
  • Ensure availability of office supplies and consumables

Coordination and Communication

  • Act as a point of contact between internal teams and service providers
  • Coordinate with internal departments for facility-related needs
  • Provide timely updates to management on ongoing tasks and issues

Qualification and Experience

  • Diploma or Degree in, Engineering, Business Administration, or related field (or equivalent qualification)
  • Minimum 1 year of relevant experience in facilities, maintenance, or administrative roles
  • Basic understanding of building maintenance and office operations

Skills and Competencies

  • Good organizational and coordination skills
  • Basic technical understanding of maintenance works
  • Strong communication and interpersonal skills
  • Ability to multitask and prioritize work
  • Problem-solving mindset with attention to detail
  • Proficiency in Microsoft Office (Excel, Word, Outlook)

Working Conditions
